If your GST registration still shows your home or an old office and you now want a virtual office address in Bengaluru, you do not need a new registration. You change the address in your GST registration by filing an amendment on the GST portal. This guide explains the form, the 15 day deadline, the documents and how long approval takes, using the official GST portal FAQs. It also covers the cases where an amendment is not enough.
Can you change your GST address to a virtual office?
Yes. You change your principal place of business by filing an amendment in FORM GST REG-14 on the GST portal, with proof of the new premises. The new address must be in the same state. For a normal taxpayer this is a core amendment, so a tax officer reviews it before the change is approved.
The GST portal's own FAQ on amending core fields lists the principal place of business, other than a change in state, among the details that need a tax official's approval. Once the change is approved, you get an SMS and an email, and you can download the approval order in FORM GST REG-15 and the amended registration certificate from your dashboard.
What is the deadline to update your GST address?
File the amendment within 15 days from the date of the change, as the GST portal FAQ says. The simplest way to stay inside that window is to have the virtual office agreement and the owner's documents in hand before the date you start using the new address, so you can file in the same week.
Pick the date of change carefully. It should match the date on which you actually moved, and it should not be earlier than the date of the agreement for the new premises.
Documents needed to change the principal place of business
You upload proof of the new premises from the same list that applies to a new registration in FORM GST REG-01, according to the official FAQs on GST law and procedures. For a rented or shared address, that means an agreement or consent letter, one ownership document and, in some cases, the owner's identity proof.
Rented or shared premises
- Rented, agreement registered: the agreement plus one document showing the owner's ownership, such as the latest property tax receipt, municipal khata copy or electricity bill.
- Rented, agreement not registered: the same, plus a copy of the owner's identity proof.
- Shared premises without an agreement: a consent letter from the owner, the owner's identity proof and one ownership document.
This list comes from CBIC Instruction No. 03/2025-GST, which we explain in detail in our guide to the documents a GST officer can ask for.
Choosing the nature of possession for a coworking address
The GST portal's help page on the principal place of business says that for a co-working space you should select Shared as the nature of possession, unless you have a valid registered sub-let agreement with the provider of the space. Choose the option that matches the papers you actually hold.
How long does a GST address change take?
For a normal taxpayer registered under rule 9 of the CGST Rules, the official FAQ says the officer approves the change within 15 days of the application if there is no discrepancy. If there is one, a show cause notice comes within 15 days, you reply within 7 working days, and the officer acts within 7 working days of your reply.
| Stage | Time limit |
|---|---|
| Filing the amendment | Within 15 days of the change |
| Approval when there is no discrepancy | Within 15 days of the application |
| Show cause notice if there is a discrepancy | Within 15 days of the application |
| Your reply to the notice | Within 7 working days of the notice |
| Officer's decision after your reply | Within 7 working days of the reply |
The portal FAQ adds that if the tax official takes no action within the stipulated time, the application is approved automatically.
Registrations under the simplified scheme (rule 14A)
If you registered under the simplified registration scheme in rule 14A of the CGST Rules, the FAQs on GST law and procedures say a change of principal place of business is now a non-core amendment. It is processed automatically by the system, without an officer's approval. You still file FORM GST REG-14 with proof of the new premises.
Adding a virtual office as an additional place of business
If you want to keep your current address and add a Bengaluru address as an extra place of business in the same state, you also file FORM GST REG-14 with proof of the premises. The same FAQs say an additional place of business is added automatically by the system, so you do not have to wait for one application before filing the next.
When an amendment is not enough
An amendment works only inside the same state. The GST portal FAQ lists a move of the place of business from one state to another among the changes that cannot be filed as an amendment. If your registration is in another state and the business moves to Karnataka, you cancel the old registration and apply afresh here.
The official FAQs also list a change in the constitution of the business that results in a new PAN as a reason to cancel the registration, so the new entity applies for its own registration. In both cases, talk to your chartered accountant before you sign anything for the new address.
Step by step: moving your GST address to a virtual office
Work in this order so you file once, with the right papers, inside the 15 day window. An officer can raise a query when the address does not match the document, so check that the building name, floor, door number and PIN code you type on the form match the agreement exactly before you submit the application on the portal.
- Before paying any provider, confirm which documents you will receive for the new address and in whose name.
- Sign the agreement and collect one ownership document for the premises, plus the owner's identity proof if the agreement is not registered.
- Log in to the GST portal and open the amendment of registration for core fields.
- Edit the principal place of business, type the new address exactly as it is on the agreement, choose the nature of possession and upload the documents.
- Enter the reason and the date of change, then verify and submit.
- Track the application with its reference number, and reply to any notice within 7 working days.
- After approval, download FORM GST REG-15 and the amended certificate, display the certificate at the new address and put your GSTIN on the name board at the entrance.
- Update the address on your invoices, letterhead, website and bank records.
